The purpose of this privacy statement is to enable you to understand how we, BeReady, use personal information collected via this website, and the choices you can make about how your personal information is used. By submitting your personal information to this website, you are confirming that you have read and understood BeReady’s privacy statement and that we may use your personal information described in it.
BeReady reserves the right to modify or update this privacy statement at any time without prior notice. Any modifications will apply to all information collected by BeReady, including previously collected information.
The information we collect
You do not have to provide any personal information in order to browse this website nor an affiliated school or college micro site. Any information you provide will be held and used by BeReady as detailed in this privacy statement.
We will collect personal information about you when you register with us through the links provided in our registration, contact and MicroLearning module sign up forms. In this instance we would collect your first name, last name, an email of your choice, password, school or college you study at, your year of study and level of study.
We will also collect personal information when your institution enrols you automatically onto our platform. If they choose to enrol you, they are acting on behalf of you and have agreed to your data being used as outlined in this privacy policy, as well as the data statement and SLA sent to them. In this instance, we would collect your first name, last name and your school/ college email only.
Additionally, when you visit our website, we may collect tracking information such as your browser type, the type of operating system you use, the location you are browsing the site from, the name of your internet service provider and pages visited on the site.
BeReady obtains this information by using technologies, including cookies, in order to increase the functionality and user-friendliness of our website and to better tailor our website to your needs. For example, we may want to know how long the average user spends on our website or which pages are visited the most.
How the information is used
We use the information and data we collect from our users for a variety of purposes:
- To help us continually improve our service.
- To conduct market research.
- So that we can send you news items, newsletters and information packs which are relevant to your interests.
- So that we can inform you of new offers, products and services that may be of interest to you.
We also use non-personal information (i.e. the pages you visit on our website and your location) for the following purposes:
- To develop our marketing strategy.
- To aid strategic development.
- To audit usage of the site and to report on user analytics.
Do we share information with third parties?
We do not share any of your information gained from our registration and contact forms with third parties, unless you actively opt in to receiving communications from a third party organisation.
We reserve the right to release personal information without your consent or without consulting you when we believe that this is appropriate to comply with our legal obligations, to enforce our terms and conditions, to protect the security of this website or to prevent fraud.
From time to time we may share anonymous information about visitors to this site to potential advertisers, business partners and sponsors such as the number of users we have, their average age, location, etc. This information will be shared in a way that ensures your identity is not revealed.
We may also disclose or access your account if required to do so by law.
How do we use data gained from contact forms and email marketing?
Should you choose to receive communications from BeReady either via our contact forms or by opting in to email marketing, we will add you to our mailing list and send any relevant information to you via email. This includes information about our schools engagement work and responses to any queries you may have.
It is your choice to receive these communications. You may unsubscribe from our email lists at any time.
We will not share your data with third parties unless you choose to be introduced to them; all data is stored in a secure data centre in the UK.
How do we use user data?
When a student or user registers on their school or college’s employability site they will sign up using their first name, last name, an email address of their choice, the name of their institution, their year of study and level of study.
Should a user be enrolled by their system Student Manager, they will be enrolled using their first name, last name, the name of their institution and their school/ college email address. In this instance, the school or college has acted on behalf of the student and has decided to enrol their data onto the system.
These details are used to create an account on the www.bereadygroup.org system. This account enables users to access materials, complete courses, receive certification and to view job opportunities. It also allows Student Managers to view the performance and analytics of their employability site and students.
Users will receive automated/ transactional emails when using the system. For example, a user will receive a notification when they have finished a module, completed a level or achieved a new badge. They cannot unsubscribe from these.
They will also receive emails containing job opportunities with relevant sponsors. These are sent by BeReady and students can unsubscribe from these whenever they wish.
All data is stored in the UK and is not shared with third parties. The data held on the backend of an employability site should be removed by the institution once the student has left.
Data Statement
All data held within the www.bereadygroup.org domain is stored within the UK in a secure data centre located in Manchester.
Schools, colleges and other educational institutions are provided with free back-end access to their bespoke employability micro-site. This enables a nominated member of staff to track student progress, check user/course analytics and upload student data in order to trigger the automated enrolment of students and to reset details when required. It is the school’s decision to enrol students. You may only enrol them using their school or college email and not a personal email. This is not compulsory and students are able to register themselves onto the employability site should you wish.
In both instances, we will need the first name, last name and school or college email. Should students register themselves for an account, they may use their personal email; we would also keep a record of their year and level of study.
It is your institution’s decision to enrol students and you are thus making a decision regarding their data. BeReady is able to provide supporting information for parents and a terms of service / privacy policy on our home site www.bereadygroup.org in addition to the site that we have created for your institution, however it is your institution’s responsibility to circulate this.
In addition to our System Administrator, the Student Manager nominated by your institution to work on your employability site will be able to view your students’ data (but no other institution’s).
It is the school’s responsibility to delete users from the system once they leave the institution. However, students may decide to update their user profile with their personal email to keep using the system after they have left your institution. It is their decision to do so.
Once enrolled, students will receive automated, transactional emails which are sent when they add a module to their account, complete a module, unlock a new badge or level or receive their CPD certification. They will also receive emails if they do not access the modules. These emails are designed to aid their use of the site and to keep students engaged with the content. Students cannot opt out of these automated messages.
They will also receive emails regarding BeReady partner organisation’s apprenticeship or university opportunities. Students can unsubscribe from these emails at any time.
BeReady does not share student data with any third parties. However, students may give their consent to be contacted by a partner of BeReady. This requires the student to clearly opt in to communications with a third party either within a module or via their institution’s employability site.
Our use of cookies and Google Analytics
This website uses Google Analytics to help analyse how users navigate the site. Google Analytics uses “cookies,” which are text files placed on your computer, to collect standard Internet log information and visitor behaviour information in an anonymous form. The information generated by the cookie about your use of the website (including IP address) is transmitted to Google. This information is then used to evaluate visitors’ use of the website and to compile statistical reports on website activity.
We will never (and will not allow any third party to) use the statistical analytics tool to track or to collect any Personally Identifiable Information (PII) of visitors to our site. Google will not associate your IP address with any other data held by Google. Neither we nor Google will link, or seek to link, an IP address with the identity of a computer user. We will not associate any data gathered from this site with any Personally Identifiable Information from any source, unless you explicitly submit that information via a fill-in form on our website.
